PLEASE READ THIS DOCUMENT CAREFULLY.
These paragraphs define our payment policy, cancellation policy, and responsibility with respect to all our trips.
Payment of your deposit represents your acceptance of the following terms and conditions:
Payment Policy
To confirm a reservation, we ask for a 50% deposit of the total trip price.
For reservations made within 30 days of arrival, we ask for full payment of the total trip price.
Our clients may also choose to pay in full at time of booking.
Cancellation Policy (For all trips except Classic Inca Trail)
Our cancellation policy is as follows:
- Cancellation fee: $45
- 45-31 days prior to arrival: Full refund of deposit (less cancellation fee) or 75% of total trip price if paid in full
- 29-18 days prior to arrival: 60% refund
- 15-8 days prior to arrival: 40% refund
- 7-3 days prior to arrival: 20% refund
- 2 days prior to arrival: 10% refund
- 1-0 days prior to arrival: 0% refund
NOTE: Refund percentages are based on 100% of the trip price.
If only a deposit has been made, the refund will be pro-rated.
Please not that flight purchases are not included in the above table and the refund of any flights is subject to the cancellation/refund policy of the individual airline.
Inca Trail Cancellation Policy
Because the INC (government body that regulates the sale of Inca Trail permits) does not give any refund for Inca Trail permits (including passengers and camp personnel), we have a separate cancellation policy for this trek:
- Time of booking – 31 days prior to arrival: $170 Cancellation fee
- 30 – 8 days prior to arrival: $270 Cancellation fee
- 7 – 0 days prior to arrival: NO REFUND
- All refunds will be returned within 15 days of cancellation date.

While paying with a credit card on our web page does add an extra 5%, sometimes, in situations where time is a matter especially, it is the only way to go. That is the one way that you can pay us and then we can have the money moments later. Also, when you pay online, then we have the ability to not officially "receive" the money on our end until we are ready to. That means that if we are trying to get some permits that are about to run out, then it will make it easy for us to return all of your money afterwards, if we don´t get the permits that is. Keep in mind that you don´t need to add on the 5% yourself, because the online system does it automatically. Just put in the amount that we agreed upon and then the system will charge the rest.
For online payments, just go to our web page: www.andinatravel.com. On the main page, at the bottom, you will find a button that says “payments online”. Hit that button and then follow the steps. Under “services” you can just put that it has been arranged with Erick or something like that. If you go through the entire process and get turned down, here is a list of the possible culprits:
- It only takes VISA, not Master Card or American Express. That sounds obvious, but a lot of persons overlook that.
- At the bottom of the first payment page there is a little box that says “security code” and has a number next to it that looks like an example code. A lot of persons think that the box is asking you to put the code from the back of your credit card on there, but really it is asking you to put that “example number” in there. That is a spam guard that is trying to make sure that it is a human trying to enter the system, not a spam.
- If you do not fill out the information that it is asking for in a timely manner, then the system resets and turns down the payment. You have to do it relatively quickly.
- You have to enter the web page with Internet Explorer, not Mozilla
- The most likely reason of all, which is the case about 90% of the time, is that your bank is turning down that payment. Anytime they see a payment to South America that they are not aware of, the automatically turn down the payment. Even for persons who make lots of international payments, they will still turn down South American payments. You should call your bank and see if that is the situation. They would at least see that you had been trying to make the payment and know what happened.
Payments made with personal checks can only be done from within the United States. We no longer accept international checks because of the high exchange rate and international transfer fee that we have been charged in the past.
